Buying guide

What video interview software really costs a small hiring team

The starting price is useful for a shortlist. Your actual bill depends on the interviews you complete, the colleagues who need access and what is included in the plan.

Compare products using one hiring scenario. Otherwise a low-volume monthly plan and an annual unlimited plan can look cheaper for entirely different reasons.

Use a busy hiring month as well as an average one. If the business hires in bursts, check whether a quiet month’s allocation expires, rolls over or belongs to an annual pool.

Check what the billable unit means

A vendor may charge by interview, active role, reviewer, employee count or credits. Ask when usage is counted: invitation, start or completed response. Confirm what happens if someone reopens an interview or never submits.

Check duration limits too. A plan with enough interview slots may still have a recording-minute limit. For your own comparison, write down the expected length of one completed interview and multiply it by volume.

Add the options your team will actually use

Cost itemQuestion to ask
Team accessHow many users are included, and what does another reviewer cost?
TranscriptionIs it included, usage-based or an additional subscription?
AI evaluationWhat does it do, what does it cost and who checks the output?
RetentionHow long are recordings stored, and what happens on cancellation?
IntegrationIs the connector you need available on this plan?
CommitmentIs the displayed monthly price billed for a full year?

Treat branding removal, custom domains and SSO as separate requirements. A product can have one without the others. Ask for the final configuration in writing when the purchase depends on it.

Include the time your own team spends

Add setup, invitation administration, answer review and technical support. If two colleagues review every response, count both people’s time. Keep the later live interview separate if it exists in both processes.

The screening time calculator on this site uses your assumptions. It can produce a negative result when review takes longer than the calls it replaces. That is useful: it tells you to change the exercise or your expectations before buying.

Check the invoice and workflow in a small pilot

Run a real vacancy with an agreed volume and review the bill alongside the work. Did candidates finish? Did reviewers use the responses? Did the next interview become more focused?

Hirevly offers optional transcription and AI evaluation, with plan choices for interview volume, team access and storage. Check current pricing and the final Billing configuration for the package you need. This guide avoids a fixed competitor price list because those packages change.
